Proxy Legal Staffing & Search Group has partnered with a reputable Pittsburgh-area law firm seeking a Paralegal to support its busy creditors’ rights and municipal tax law practice. This is an excellent opportunity for a detail-oriented legal professional looking to join a stable and collaborative team environment.

Responsibilities:

  • Prepare and electronically file legal documents with courts and local agencies
  • Draft motions, petitions, affidavits, certificates of service, and related legal filings
  • Coordinate court filings, hearings, and sheriff sale documentation
  • Review court dockets and conduct online legal research
  • Maintain case files, databases, and tracking spreadsheets
  • Communicate with courts, county offices, and other legal entities
  • Handle high-volume legal mailings and correspondence

Qualifications:

  • Prior legal assistant or paralegal experience preferred
  • Experience with creditors’ rights, municipal tax law, or litigation support is a plus
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Proficiency with Microsoft Office
  • Ability to work independently in a fast-paced environment
  • Paralegal Certificate or Bachelor’s degree preferred

Proxy Legal Staffing & Search Group has partnered with a Pittsburgh firm to identify a Legal Billing Coordinator to join their growing team!

Job Details:

  • Direct-Hire Position

  • Hybrid Schedule: 3 days in office / 2 days remote

  • Salary: Dependent on experience (DOE)

Responsibilities

  • Generate, edit, and finalize monthly invoices in accordance with firm and client billing guidelines.

  • Prepare and distribute monthly prebills to attorneys, incorporating necessary edits and adjustments.

  • Assist with electronic billing (e-billing) submissions, resolve rejected invoices, and track approval statuses.

  • Record, review, and monitor attorney time entries and client-related expenses.

  • Maintain and update matter information, billing rates, and client-specific requirements within the billing system.

  • Ensure compliance with client billing guidelines and internal firm procedures.

  • Respond to attorney and staff inquiries regarding billing status, adjustments, and documentation.

  • Support month-end and year-end billing processes as needed.


Education & Experience

  • 2+ years of legal billing experience preferred.

  • Prior law firm experience required.

  • Experience with legal billing software (Aderant, Elite, eBillingHub, or similar) required.

  • Bachelor’s degree is a plus.

  • Strong proficiency in Microsoft Office, particularly Excel, is beneficial.

  • Excellent organizational skills, attention to detail, and ability to meet deadlines.

Overview

This position provides comprehensive administrative and legal support throughout all stages of civil litigation, from case intake through resolution. The ideal candidate is highly organized, detail-oriented, and able to manage competing deadlines in a fast-paced environment.

Key Responsibilities

  • Draft, format, and file pleadings, motions, discovery, and correspondence in state and federal courts
  • Manage attorney calendars, including hearings, depositions, mediations, and trial dates
  • Track litigation deadlines and court requirements
  • Assist with discovery, including document management, review, and production
  • Prepare and file bankruptcy-related documents and monitor dockets (if applicable)
  • Maintain electronic and physical case files
  • E-file and serve legal documents
  • Communicate with clients, courts, opposing counsel, and vendors
  • Enter attorney time
  • Prepare forms, check requests, and intake documentation
  • Other duties as needed.

Qualifications

  • 3+ years of legal assistant or administrative experience required
  • Litigation experience required; bankruptcy experience preferred
  • Proficiency in Microsoft Office 365 (Word, Excel, Outlook)
  • Experience with e-filing systems and document management tools (NetDocuments a plus)
  • Strong organizational skills and attention to detail
  • Ability to maintain confidentiality and manage multiple deadlines
