Key Responsibilities

• Prepare and submit approximately 30 bids per month, ensuring accuracy and competitiveness.
• Gather, review, and analyze blueprints, proposals, specifications, and related documents to develop a thorough understanding of project requirements.
• Assess and prioritize bid opportunities, ensuring all qualifying bids are submitted on time.
• Coordinate with clients, vendors, and internal departments on scope changes or project updates.
• Obtain vendor bids by specifying materials, negotiating pricing, and securing discounts.
• Maintain and nurture long-term relationships with clients, vendors, architects, and engineers.
• Review completed bids with senior management to identify successful strategies and areas for improvement.
• Occasionally visit job sites or client offices to evaluate conditions and discuss projects.
• Stay current with industry trends through ongoing education and industry publications.

Must-Have Qualifications

• High school diploma or equivalent
• Experience with Microsoft Office, especially Excel, in a work environment.

Position Summary:
The Accounts Receivable Specialist is responsible for managing incoming payments, maintaining accurate customer accounts, and ensuring timely collection of outstanding balances. This role supports the organization's cash flow by processing invoices, monitoring aging reports, and resolving billing discrepancies.

Key Responsibilities

• Generate and distribute customer invoices accurately and timely.
• Post customer payments received via check, ACH, wire transfer, and credit card.
• Monitor accounts receivable aging and follow up on past-due accounts.
• Contact customers regarding outstanding balances and payment arrangements.
• Investigate and resolve invoice, payment, and account discrepancies.
• Reconcile accounts receivable transactions and customer statements.
• Maintain accurate customer records and payment histories.
• Prepare collection reports and provide updates to management.

• Collaborate with sales, customer service, and accounting teams to resolve billing issues.
• Ensure compliance with company policies and accounting procedures.

Qualifications

• Associate's or Bachelor's degree in Accounting, Finance, Business, or related field preferred.
• 1-3 years of accounts receivable, billing, or general accounting experience.
• Proficiency with Microsoft Excel and accounting/ERP systems.
• Strong attention to detail and organizational skills.
• Excellent communication and customer service abilities.

• Experience with collections and cash application processes.
