Proxy Legal Staffing is partnering with a prominent law firm to identify an experienced Legal Billing Supervisor. This fully remote role supports the firm’s billing and collections teams, focusing on electronic invoice submission, issue resolution, and process oversight. While the position is remote, candidates must reside near Pittsburgh or Philadelphia, as occasional in-person meetings, trainings, or special projects will be required.

Key Responsibilities:

  • Supervise electronic invoice submission via eBillingHub and various client platforms, ensuring accuracy and compliance with billing guidelines.

  • Oversee invoice acceptance across vendor sites such as Legal Tracker, T360, CounselLink, and others.

  • Triage and resolve e-billing issues including block billing, task code errors, and rejected invoices.

  • Monitor client portals for new matters and rate approvals; coordinate timely updates with internal billing teams.

  • Communicate rate adjustments and approvals to billing and pricing stakeholders.

  • Lead appeals for invoice reductions or rejections and assist in submitting budgets.

  • Collaborate with internal teams to identify trends in billing rejections and develop process improvements.

  • Provide support and guidance to billing team members as needed; assist with special projects as assigned.

Qualifications:

  • Associate’s degree in business, accounting, or related field is required

  • 3+ years of billing or accounting experience required, with at least 1 year in a supervisory or lead capacity.

  • Experience in a law firm or professional services environment is required

  • Elite 3E or Aderant Experience is required

  • Strong command of Microsoft Office, especially Excel.

  • Ability to effectively prioritize and manage deadlines in a high-volume environment.

  • Flexibility to work extended hours as needed, particularly during year-end billing cycles.

  • Scheduling depositions, hearings, and client meetings
  • Communicating effectively with clients, courts, and opposing counsel
  • Assisting with trial preparation, organizing exhibits and binders
  • Maintaining attorney timekeeping and billing records

Required Skills:

  • 3-5 years of litigation legal assistant experience in a law firm
  • Strong understanding of litigation procedures, court rules, and e-filing

Proxy Legal Staffing & Search Group has partnered with a well-established law firm to identify an experienced Benefits Administrator for a temporary assignment supporting the firm’s corporate office in Pittsburgh. $33-40/hr DOE

Key Responsibilities

  • Administer health and welfare benefit plans, including benefits communications, new enrollments, terminations, COBRA, and employee status changes

  • Coordinate and manage employee leaves, including Short- and Long-Term Disability, State Disability programs, State Family Leave, Workers’ Compensation, and FMLA, in compliance with applicable federal and state regulations

  • Track employee leaves using Excel and an HRIS system, ensuring accurate communication regarding leave start dates, duration, extensions, and return-to-work timelines

  • Prepare, distribute, submit, and maintain all required leave and benefits documentation

  • Communicate regularly with third-party vendors and employees to monitor and update leave and benefits statuses

  • Maintain accurate, up-to-date employee records and documentation

Qualifications & Requirements

  • Bachelor’s degree in Human Resources, Benefits & Compensation, or a related field or 5+ years of experience administering benefit plans in a large law firm or corporate environment

  • Strong working knowledge of legal and regulatory requirements related to benefit plan administration

  • Hands-on experience with COBRA, FMLA, state disability programs, and related leave policies

  • Prior experience with UKG or similar HRIS platforms strongly preferred

  • Excellent interpersonal and communication skills

  • Proficiency with Microsoft Office, particularly Excel

  • Review executed engagement letters to accurately establish clients and matters in the firm’s financial system, including billing arrangements, discounts, and payor details
  • Audit new and existing matters to ensure proper phase, task, activity coding, and e-billing flags are applied at inception

  • Partner with attorneys and administrative staff to gather and enter insurance carrier and billing compliance information

  • Communicate client-specific billing requirements to billing and finance teams

  • Collaborate with pricing professionals to ensure accurate rate application and revaluation of unbilled time when exceptions apply

  • Collect, maintain, and interpret Outside Counsel Guidelines and ensure proper implementation

  • Assist with matter setup, updates, and maintenance, including reopening and closing matters as needed

  • Support global updates to billing templates and matter settings

  • Identify trends related to onboarding and billing compliance to support process improvement and training initiatives

Qualifications:

  • Bachelor’s degree or equivalent relevant experience

  • 5+ years of experience in law firm billing or billing compliance

  • Experience with legal billing platforms such as 3E, e-billing systems, and intake tools

  • Familiarity with engagement letters, proformas, and client billing requirements

  • Strong attention to detail, analytical, and communication skills

  • Ability to work collaboratively across departments
